Bid Coordinator

Overview of the Role

The Bid Management team provides support to the UK and global commercial teams to ensure efficient production of proposals and tender responses together with a consistency of presentation and PTS compliance with the key objective of winning good business.  The team are tasked to ensure competitive proposals are submitted that win business which is profitable, deliverable and referenceable.

The candidate should have the ability to liaise with and confidently influence stakeholders and the ability to work across a number of disciplines.  To perform the role of Bid Coordinator for the Commercial Team the successful candidate will:

  • Assist the Senior Bid Manager in researching, managing, writing and submitting bids across all business practices: Public Sector, Professional Services, Managed Services and Data Centres
  • Liaise with all stakeholders internally and externally
  • Prioritise and work to tight deadlines with accuracy and tenacity
  • Represent PTS in a professional manner at all times and exercise excellent communication skills at all levels

Description of Duties

  • Provide bid administration from inception to submission.
  • To gather, collate, and format data in order to meet the requirement for pre-qualification and tender submissions
  • Assist the Bid Manager in writing customer specific responses to questions raised during the bid process
  • Identify, write and capture project innovations and best practice for future use
  • Liaise with our in-house Subject Matter Experts and write supporting information for use in proposals including approach and methodology, case studies, CVs and project best practice
  • Store outputs in a way that can be readily shared for future use by others in the company
  • Liaise with operations and support teams to ensure that they are briefed with the details of an enquiry/project and work with them on the resolution of technical issues
  • Bid administration
  • Develop and maintain the submission answers database
  • Prepare presentations for interviews
  • Manage Public Sector procurement portals for tender submission and communication throughout the tender process ensuring notifications received captured in a timely manner

Technical Skills

  • Working knowledge of Adobe InDesign is essential
  • Advanced Microsoft Office skills including Word, Excel and Powerpoint

Relevant Necessary Experience

  • Experience within a sales/commercial environment
  • Ideally Educated to degree level
  • Experience in a bid coordinator role (desirable)

The following experience would be an advantage:

  • Producing and managing formal sales proposals and supporting presentation material
  • Understanding and experience of both private and public procurement
  • Demonstrable experience of working to tight deadlines with competing priorities

Background and Responsibilities

The role will suit someone who can meet multiple deadlines, prioritise and thrive under pressure. Ideally candidates will have experience in the construction or IT industry. The successful candidate should have the ability to liaise with and confidently influence stakeholders and the ability to work across a number of disciplines.
